How to pitch a group trip to your board or committee

Updated October 20, 2026 · 2 min read

General information, not a quote or contract. Cruise line, tour and hotel policies vary, and your proposal confirms the actual terms.

Boards approve trips that are easy to say yes to: clear costs, no money flowing through the organization, and proof that members want to go. Bring all three to the meeting and most votes take ten minutes.

Show that members are interested

A show of hands at a meeting is easy to dismiss. A short member survey with real numbers is not. Ask members three things: would you go, which of two or three destinations, and which months work. "38 members said they'd likely go, and 60 percent picked a Caribbean cruise in spring" ends a lot of debate.

Bring a one-page summary

One page, read aloud in two minutes, answers most questions before anyone asks. Include:

  • The trip: destination, dates, length and departure port
  • Who can go: members only, or spouses, family and friends too
  • What's included: cabin or room, meals, events, transfers
  • Cost: the per-person range and what's not included
  • Payments: deposit amount and date, payment plan option, final payment date
  • Cancellation terms: what happens if a traveler cancels, and when penalties start
  • Who handles money: each traveler pays the travel company directly

Answer the money question first

Most boards worry about two things: the organization being on the hook, and volunteers handling cash. Structure the trip so neither happens. Each member books and pays their own deposit, and the organization signs nothing that makes it responsible for unsold space. In an HOA, check the governing documents; most keep trips member-paid by default.

Be clear about the organizer credit

If the trip earns an organizer credit, say how it will be used: the organizer's fare, split across the group, or a raffle. Boards are comfortable with any of these when it's disclosed up front. How organizer credits work explains the usual terms.

Questions to be ready for

  • What if not enough people sign up? Space isn't held until the agreement is signed and deposits are made, and there's a release date before which unsold space can be returned.
  • What if the trip is canceled? Point to the cancellation terms and travel protection options.
  • Can members pay over time? Yes, payment plans spread the cost between deposit and final payment.
  • Who's the contact if something goes wrong? Name the travel company and the volunteer.

After the vote

Announce the trip within a week while interest is fresh, with the booking link, deposit date and the payment plan option in the first message. We provide a board packet and newsletter copy for every trip we arrange.

Good news for your members

Payment plans available

Travelers can spread the cost of their trip into smaller payments between the deposit and final payment, so more of your members can say yes.
