Hotel Room Blocks

Hotel room blocks without the attrition risk

For conventions, weddings, tournaments, reunions and memorials. We find hotels near your venue, set up the block, and give your guests one link to book their own rooms.

How a room block works

Size it by your peak night

Tell us how many rooms you need each night. We request a block shaped to that pattern instead of a flat number.

Courtesy or contracted

A courtesy block releases unused rooms at the cut-off date with no penalty. A contracted block can get better terms but may bill the group for unused rooms.

Guests book themselves

Each guest reserves and pays for their own room through a group link, at the group rate, until the cut-off date.

What we handle

From the first hotel call to the cut-off date

  • Finding hotels at the right distance from your venue and price
  • Negotiating courtesy blocks where hotels offer them
  • A booking link or group code your guests can use
  • Hospitality suites, meeting rooms and shuttle requests
  • Pickup reports before the cut-off, so you can adjust the block
  • Multiple hotels at different price points for large events

Sketch your room pattern

Most events need more rooms on Friday and Saturday than on Thursday or Sunday. Adjust the nights to see your total room nights. You'll enter the real numbers on the request form.

We'd ask hotels near your venue for about 40 rooms on your peak night and 90 room nights in total. If guests tend to book late, a courtesy block keeps the risk off your organization.

Questions

Before you ask

What is attrition?

In a contracted block, the group agrees to fill a share of the rooms. If fewer rooms are booked, the hotel can bill the group for the shortfall. That shortfall is called attrition.

What's a cut-off date?

The last day guests can book at the group rate. After that, unbooked rooms go back to the hotel. It's often around 30 days before arrival.

Does the organizer pay for the rooms?

Not usually. With a courtesy block, each guest books and pays for their own room.

Can we use more than one hotel?

Yes. Large events often have blocks at two or three hotels at different price points.

Your group already wants to go. Let's pick where.
