Trade Associations

Group travel for trade and professional associations

Associations use group travel three ways: an annual meeting or CE program at sea, a room block for the convention, and member trips that build loyalty between events. We handle all three under one planner.

What gets in the way

We know how trade associations plan trips

Attendance is hard to predict

Room blocks and cabin holds need numbers before registrations come in.

Meeting space at sea is limited

Conference rooms, AV and private events must be requested well before sailing.

Staff time is the real cost

Association staff can't become a travel desk on top of running the event.

How we help

Built for trade associations

  • Courtesy room blocks where hotels offer them, so the association isn't on the hook for unused rooms
  • Meeting space, AV and private receptions requested alongside the cabin hold
  • A registration-style trip page members book through directly
  • Sponsor and vendor add-ons such as a branded welcome reception

Start a group request

Three quick questions, then tell us how to reach you. No cost and no deposit to ask.

Next: your contact details and a few trip specifics. About 3 minutes.

Questions

What trade associations usually ask

Can we hold sessions on board?

Yes. Many ships have conference rooms that can be reserved for groups, usually with AV available. We request space when we hold cabins.

What's the difference between a courtesy and a contracted room block?

A courtesy block releases unused rooms at the cut-off date with no penalty. A contracted block often gets better terms but can bill the group for unused rooms (attrition).

Can members bring guests?

Yes. The trip page can allow guests, and each traveler books their own cabin or room.
