Group cruises
Group cruise deposits, release dates and payment plans
General information, not a quote or contract. Cruise line, tour and hotel policies vary, and your proposal confirms the actual terms.
Four dates control every group cruise: the initial deposit, the release date, the payment plan installments, and final payment. Put all four on the calendar the day you sign.
The initial deposit
Nothing is reserved until the group agreement is signed and the initial deposits are made. Until then, cabins aren't held and prices can change. Group deposits are often a set amount per guest and are sometimes refundable up to a point, which is one advantage of booking as a group. Your proposal lists the exact amount and refund terms.
The release date
The release date is when the group can return unsold cabins to the cruise line without paying for them. It usually falls a few weeks before final payment. Two weeks before it, count paid deposits and release cabins you know you won't fill. After the release date, empty cabins generally become the group's cost.
Payment plans
Payment plans let each traveler spread the balance into smaller payments between the deposit and final payment instead of paying it all at once. For members on fixed incomes, or families paying for several people, that's often what decides whether they can go.
How it usually works:
- The traveler pays the deposit to book a cabin.
- The balance is split into installments, often monthly.
- The last installment lands on or before final payment.
The schedule depends on the cruise line and how far out the trip is. The longer the lead time, the smaller each payment. We send reminders so the organizer doesn't have to.
Final payment
Final payment is often due 75 to 120 days before sailing, depending on the line and the length of the cruise. After final payment, cancellations usually carry penalties that grow as sailing gets closer. Travel protection can cover some of those costs, depending on the plan and the reason for canceling.
A sample calendar for a spring sailing
For a sailing in April, a typical timeline might look like this:
- The previous April to June: group agrees on a cruise, signs, and pays initial deposits
- Summer: sign-ups open; members book cabins and start payment plans
- October: release date; return cabins you won't fill
- Mid-December to January: final payment due
- February: documents and final details
- April: sail
Every cruise line sets its own dates, so treat this as a shape, not a schedule. Your proposal spells out the real one. If you're starting to plan, tell us about your group.

Travelers can spread the cost of their trip into smaller payments between the deposit and final payment, so more of your members can say yes.
